Create a company workspace in Fulcrum Mail

Set up a Fulcrum Mail company workspace: add your team, choose how to pay, connect or buy a domain, set up DNS and activate incoming mail.

A workspace is where your mail, files and people live. Every account starts with a personal workspace. A company workspace sits alongside it under the same sign-in and gives you mail on your own domain, a team, company drives and shared settings. You become the owner of any company workspace you create.

If you're moving an existing team from another provider, read moving business email from Microsoft 365 or Google Workspace before you start.

Where to start

You can start a company workspace from any of these places:

  • Create a company workspace in your account menu
  • + New workspace in the workspace switcher
  • The Company workspace card in Settings
  • The Workspace app in the left rail
  • The Working with a team? banner in your inbox

You can also go straight to the company workspace sign-up page. Without a Fulcrum account, the same page asks for your name, email, password and mobile verification as well.

Set up the workspace

  1. Enter the Company name (and a Referral code if someone gave you one), then select Create workspace.
  2. Company. Enter the Legal company name, Country, Team size, Time zone and, optionally, your ABN. Select Continue to your team.
  3. Team. Under Add your team., enter each person's Name, Mailbox name and, optionally, a Personal email. Use Add a person for more rows. The page shows the monthly cost, including GST, as you go. Select Continue to payment options.
  4. Payment. Choose Wallet subscription (marked Recommended) or Pay by card for accounts only, add a Promotion code if you have one, and select Continue to payment. This step is skipped when no payment is needed.
  5. Domain. Choose I already own a domain to connect your company domain. If you don't have one yet, the page offers either Buy a domain through Fulcrum (search, register and get DNS set up automatically) or I need a new domain (buy it from a registrar, then connect it). Which one you see depends on whether Fulcrum domain sales are switched on for your workspace.
  6. Mailbox. Choose your Mailbox name, for example alex, hello or accounts. Select Continue to DNS setup.
  7. DNS setup. Connect your domain using one of the options in the next section. Tick the acknowledgements, then select Continue to mail activation.
  8. Activation. Select Review workspace to activate incoming mail, or Continue with Drive only to start with files and add mail later.
  9. Workspace. Select Open workspace. Domain checks carry on in the background, and you can follow them in Workspace → Domains.

You don't have to finish in one sitting. Exit setup saves your progress, and you can pick the workspace in the workspace switcher to carry on. To abandon a workspace you started, choose Discard workspace and type the workspace name to confirm.

Connect your domain's DNS

Mail on your own domain needs DNS records that point to Fulcrum. The DNS step gives you three ways to add them:

  • Connect Cloudflare: if your domain uses Cloudflare, paste a Cloudflare API token and Fulcrum adds the records for you.
  • Move DNS to Fulcrum: Fulcrum can host DNS for your domain and keep its email records set up automatically.
  • Add the records yourself: copy the listed records into your DNS provider, then select Check now.

With Cloudflare, you also choose when your mail moves. Switch mail delivery to Fulcrum sends new mail to Fulcrum straight away. Keep mail where it is leaves delivery unchanged until you're ready. If you switch and need to go back, use Restore previous mail delivery.

If you chose I need a new domain, select Open GoDaddy domain checkout, complete the purchase with the registrar, then come back and select Connect owned domain.

The Workspace app

Owners and administrators manage a company from the Workspace app in the left rail. The buttons at the top are Create user and Invite, and the tabs are:

  • People: everyone in the workspace. See Invite and manage members.
  • Groups: teams used for shared Drive permissions.
  • Domains: Add domain adds another company domain. Each domain has Email setup and Domain orders.
  • Settings: Workspace logo, Workspace details, Allow external sharing and Export workspace metadata. Select Save changes when you're done.
  • Activity: recent activity in the workspace.

In a personal account, the Workspace app shows Your workspaces. Each company you belong to has Open workspace, or Continue setup if you haven't finished. Members who aren't administrators see a note that an owner or administrator manages company settings, members and domains.

Example: bring a small team onto its own domain

First create the company workspace, then add the exact DNS records displayed for that domain. Verify receiving and sending separately with a mailbox you control. Invite colleagues after the workspace and domain are ready. Each person should use their own account, with the role appropriate to their responsibilities.

When a domain is not ready

Check the selected workspace and the full DNS name, record type and value against the setup screen. Some DNS providers append the domain automatically. Recheck the records before waiting for propagation. A verified domain, a provisioned mailbox and successful delivery are separate checks.
