Invoices and the product catalogue

Create and review Fulcrum CRM invoices, manage drafts, understand payment status, use the product catalogue and reconcile provider updates.

Invoices live under Sales → Invoices. They record billing for the selected organisation. The invoice workflow can connect to Stripe; access, configuration and invoice state determine which actions are available.

Prepare an invoice

  1. Open Invoices or the New Invoice quick action.
  2. Select the intended contact and check its company and billing details.
  3. Choose the products and quantities, then review currency, totals and recipient.
  4. Save as a draft when it still needs review.
  5. Open the draft again and check the saved details before finalising.

Drafts and sending

Use Edit Draft while an invoice is still a draft. Finalize & Send is an external action: check the recipient and amount before proceeding. Clone as Draft is useful for a similar invoice, but the new draft still needs its own dates, quantities and customer review.

Read status carefully

The invoice list can filter draft, open, paid, uncollectible and void states. A saved invoice is not proof that the customer received it, and an open invoice is not proof of payment. Review the provider-backed invoice details and synchronisation status when reconciling a payment.

Product catalogue

Settings → Product Catalog manages the offerings used for invoice creation. Use consistent descriptions and inspect the selected price in each draft. A catalogue change does not mean an already-finalised invoice has changed.

Corrections and recovery

Void Invoice, deleting a draft and marking an invoice paid have different effects. Use the action that reflects the real situation and read its confirmation. Do not mark paid to clear a visual warning when payment has not actually been reconciled. If synchronisation fails, inspect the existing provider invoice before creating a replacement.

Verify the result

Check the customer, status, amount, provider reference and any sent notification. Use a draft for a rehearsal; do not send a real invoice merely to test the screen. Keep payment information and customer billing details out of public screenshots.
