Invite and manage workspace members
Invite colleagues to a Fulcrum Mail company workspace, create users on your domain, set roles, reset passwords, suspend access and organise people into groups.
Company workspace owners and administrators manage people from the Workspace app in the left rail. There are two ways to add someone. Invite brings in a person who already has a Fulcrum account. Create user makes a new account on your company domain. If you haven't set up a company yet, start with Create a company workspace.
Invite someone with an existing account
- Open Workspace and select Invite.
- In Invite to your workspace, enter the person's Email address.
- Choose a Workspace role: Member or Administrator.
- Select Create invitation. Fulcrum emails the person an invitation titled "Join your workspace on Fulcrum".
- The person opens the link and signs in, or creates a free account, with the email address the invitation was sent to. They then select Accept invitation.
Invitation links expire after seven days. The person must sign in with the address you invited (or their matching @fulcrumail.app address), and that email must be verified. If the link has expired, send a new invitation.
Create a user on your domain
Use this when the person doesn't have a Fulcrum account yet and you want to give them a mailbox on your company domain. No invitation is needed.
- Open Workspace and select Create user.
- In Create workspace user, enter their Full name and Username, then pick a verified Domain.
- Set an Initial password and choose a Workspace role: Member, Administrator or Guest.
- Select Create user, then share the sign-in details with them securely.
Roles at a glance
| Role | What it means |
|---|---|
| Owner | The person who created the company workspace. Owners manage settings, members and domains. |
| Administrator | Manages company settings, members and domains, the same as an owner. |
| Member | Uses the workspace apps but can't change company settings. |
| Guest | Available when you create a user. Guests don't see the Wallet. |
Manage a person
On the People tab, select Manage user next to someone. The dialog has three sections:
- Details: update their details and select Save details. You can also use Change mailbox address or Assign mailbox.
- Password: choose Set new password to set one yourself, or Send reset email to let them choose.
- Access: change their Workspace role and select Save role. Use Suspend user to block access without deleting anything. Use Restore user to give it back.
Organise people into groups
Groups are teams you use for shared Drive permissions. Open Workspace → Groups (shown as Company groups):
- Select Create group, enter a Group name and save.
- Select Manage members on the group, then Add member for each person.
- When you share a company drive or folder, choose the group instead of naming each person.
If your team also uses Fulcrum CRM, roles there are set separately. See CRM roles and permissions. People and AI agents can work side by side across these apps. The Fulcrum Sessions orchestrator is what coordinates that shared team.
Choose an invitation or a new domain user
Invite someone with an existing Fulcrum identity when you want to add that person to the team. Create a domain user when the person needs an address managed by your company. Review the email and role before sending; an invitation is not proof that the recipient has joined.
When someone cannot see the workspace
Check the invitation’s address, their signed-in account and membership status. Confirm that they switched to the company workspace rather than remaining in their personal space. Group membership and administrator roles have different purposes; membership in a group does not automatically make someone an administrator.
