Activities and tasks in Fulcrum CRM
Log notes, calls, emails, messages and meetings on a Fulcrum CRM contact, invite attendees to meetings, and create and complete tasks for people, teams or AI agents.
Activities are the record of what happened with a contact: notes, calls, emails, SMS, LinkedIn and WhatsApp messages, and meetings. Tasks are what still needs doing. Both live on the contact's timeline, so everyone sees the same history.
Log an activity
- Open the contact.
- Choose the type of activity: Note, Call, Email, SMS, LinkedIn, WhatsApp, Meeting or Task.
- Fill in Interaction Details. For a call, also set the Outcome (Connected, No Answer, Busy or Voicemail) and Duration (seconds). For a meeting, add the Attendees as comma-separated emails.
- Select Save Activity.
Type @ in a note to mention a colleague; they get an alert. Every text box has a microphone button for dictation. Deleting an activity is permanent; activities don't go to the recycle bin.
Log a meeting and send invitations
Log a Meeting with a future date and Fulcrum CRM adds it to your connected calendar. To email the attendees as well, tick Email an invitation to the attendees and this contact. It's off by default. Your administrator connects the calendar provider (Google, Outlook or Zoho) in Settings → Integrations.
Fulcrum CRM doesn't have its own public booking page. To let customers book time themselves, use a Fulcrum Calendar booking page.
Create a task
- Create a task from a contact, from a deal's tasks panel, or with New Task in Quick Actions.
- Name the task and set Assign To. You can assign it to a user, an AI agent or a team.
- Choose a Due Date and Priority, then save. The confirmation offers Open contact to jump back to the record.
A task assigned to a team shows up for every member until one of them picks it up.
Work through My Tasks
My Tasks groups your tasks into Overdue, Today, Upcoming and No date. Tick a task to mark it done.
See everything across the team
Activities in the sidebar is the organisation-wide timeline. Filter it by person and date, and use Load more to go further back. It's a quick way to see what the team, and the AI agents working alongside it, did today. To cut down on manual follow-up, rules in Settings → Automations can create tasks, add notes, assign records or send emails when something changes. Read more about Fulcrum CRM workflow automations.
Video meetings
If video is set up for your workspace, Meetings in the sidebar lets you create an in-app video meeting with New meeting → Create meeting.
Activity records history; a task records work to do
Log a call or note for something that happened. Create a task with an owner and due date for the next action. After the task is completed, record the outcome where the team can find it. This avoids a timeline full of promises with no visible follow-through.
When a meeting or reminder is missing
Check the contact, assigned user, date filters and task status. For an invited meeting, verify the saved event and the recipient list. An activity note mentioning a meeting is not necessarily a calendar invitation or a room reservation.
