How guests book, and how to manage bookings

What guests see on a Fulcrum booking page, how they confirm by email, and how hosts and guests reschedule or cancel a booking afterwards.

Once your booking page is published, anyone with the link can book a time. This guide covers the guest's side first, so you know what your customers see, and then how you manage what comes in.

What the guest does

The booking page shows your name, the meeting title and length, the location and your welcome message, along with the note Only available times are shared.

  1. Under Select a date & time, the guest checks Your time zone. It defaults to their device's time zone.
  2. They pick a date, then one of the available times. Days outside your booking window can't be chosen.
  3. Under Your details, they enter Your name, Email address and, optionally, anything they'd like to share.
  4. They select Email my confirmation link. The page tells them the booking isn't confirmed yet and to check their email.
  5. They open the email, titled "Confirm your booking with" followed by your name, and select Verify email & confirm booking. The link is valid for 15 minutes.

Fulcrum checks your calendars one last time, then confirms. You and the guest both get a Booking confirmed email with the meeting link (for Fulcrum Meeting pages) and a link to manage or cancel. The event is added to the calendar you chose under Add bookings to, and the guest is invited to it.

If someone else takes the slot first, or you change your hours while a guest is booking, the guest is asked to choose another time. Nothing is double-booked.

Reschedule or cancel as a guest

The link in the confirmation email opens the booking's own page, which confirms the guest is booked and shows the meeting details.

  • Join Fulcrum Meeting opens the video meeting.
  • Reschedule opens the time picker again. The guest picks a new time and selects Confirm new time. The original booking stays in place until the new time is confirmed.
  • Cancel booking asks Cancel this booking?. Selecting Yes, cancel booking cancels it and updates the host's calendar invitation. Keep booking leaves it as it is.

A booking can only be changed while it's confirmed and still in the future.

Manage bookings as the host

In Calendar, select Booking pages and open the Bookings tab. Each booking shows its status, the meeting title, the guest's name and email, and the time. The list refreshes on its own.

  1. Select Manage booking next to a booking.
  2. Choose Reschedule to move it to another free time, or Cancel booking to cancel it.

Bookings show up here only after the guest has verified their email. Booked events in your main calendar can't be edited directly; always use Manage booking so the guest is kept up to date.

Booking statuses

StatusMeaning
reservedThe time is being held while the booking is confirmed.
confirmedThe booking is in your calendar.
reschedulingA change of time is being applied.
cancelling / cancelledThe booking is being cancelled, or has been.
failedThe booking couldn't be added to the destination calendar. The guest's booking page offers Choose another time.

If a booking needs a follow-up call, a Lyre outbound call or a CRM task keeps it from slipping.

Verify the whole booking

Use a guest address you control to choose a slot and complete email confirmation. Check the management page, host calendar, invitation and meeting link. Until the guest verifies and the booking is confirmed, a selected slot should not be treated as a completed appointment.

When a change is pending

Read the displayed status and error before submitting another reschedule or cancellation. The destination calendar may still be processing. Use the latest confirmation and management link, then verify the final status and calendar entry after the change completes.
