Custom fields in Fulcrum CRM
Add your own fields to Fulcrum CRM contacts, choose the data type, show them as columns on the contact list, hide them, or delete them.
Every business tracks something the standard fields don't cover, such as a licence number, a property type or a renewal month. Custom fields add those details to your contacts. They appear on each contact under About this contact, and you can use them as list filters.
Add a custom field
- Go to Settings → Custom Fields.
- Under Create New Field, enter a Field Name.
- Choose a Data Type: Single Line Text, Multiline Text, Number, Currency (Price), Date Picker or Dropdown Menu.
- Tick Show in List View if you want the field as a column on the Contacts list.
- Select Add Property.
Hide or delete a field
- Under Custom Properties, each field has a switch between Visible in UI and Hidden in UI. Hiding a field keeps its data but takes it off the screen.
- Deleting a field removes it, and its values, from every contact. Fulcrum asks you to confirm first, and a deleted field can't be restored.
Choose the data type carefully. Numbers, dates and dropdowns keep your data consistent, which makes lists and filters more reliable than free text. If you're bringing in data from another system, create the matching custom fields before you import.
Use custom fields
- Fill them in on a contact under About this contact.
- Filter on them when you build a list.
- Collect them from your website by adding them to a lead form. Forms accept custom fields as well as standard ones.
Design the field before entering data
Choose a clear name and a type that fits how the team will search and report. A date field is better than free text for a renewal date; a controlled option is better when everyone must use the same category. Test the field on a sample record before importing values for the whole database.
Before hiding or deleting a field
Check whether forms, imports, lists or reporting workflows rely on it. Hiding a field and deleting its definition are different actions. Export important values where appropriate before a destructive change, and tell the team how the replacement field should be used.
