Contacts and companies in Fulcrum CRM

Add and find contacts in Fulcrum CRM, use tags, owners and lifecycle stages, act on many contacts at once, and keep company records with their contacts and deals.

Contacts are the people you work with. Companies are the organisations they belong to. Both keep a timeline of every email, call, meeting and note, so anyone on the team can pick up where someone else left off. The core CRM platform page gives the product overview; this guide covers the day-to-day steps.

Find contacts

  1. Open Contacts in the sidebar.
  2. Pick a tab: All contacts, My contacts, Unassigned or Opportunities.
  3. Search by name, role, email, phone or company. Use Filters to narrow the list further. You can also sort by name, company, email, score, engagement score, created date or last activity.

Add a contact

  1. Select Add Contact on the Contacts page, or open + and choose New Contact.
  2. Fill in the person's details, such as name, email, phone and company.
  3. Save. New contacts start with lead status "New" and lifecycle stage "Lead".

Lifecycle stages run Lead, MQL, SQL, Opportunity, Customer, Evangelist and Subscriber. Change the owner in Contact Owner on the contact page. Reassigning a contact needs the right permission; see Roles and permissions.

On a contact's page

  • The timeline shows everything logged against the contact. To add to it, see Activities and tasks.
  • About this contact holds their details and custom fields. Prospect Insights shows their score.
  • Enrich with AI uses AI to fill in missing details. Enrichment uses AI credits.
  • + Create deal opens a deal for the contact; see Deals and pipelines.
  • Call with AI Agent has a Lyre voice agent call them, if the contact has agreed to AI calls (AI Call Consent).
  • Copy link copies a direct link to the record, to share with a colleague.

On a phone, the contact page is split into Activity, Details, Deals and More tabs. The ••• menu holds the logging shortcuts, such as Log a call, Create a task and Edit contact.

Tags

  • On a contact, type in the Tags box and press Enter. Tags ignore capitals, so "Interested" and "interested" are the same tag.
  • To tag many contacts at once, select them on the Contacts list and choose Add tag or Remove tag.
  • Owners and admins can describe what each tag means in Settings → Tags. Hover over a tag to read its description.

Work with many contacts at once

Tick contacts on the list to act on them together: Add tag, Remove tag or Add to list. To act on everything that matches your filters, use "Select all matching" (up to 50,000 contacts). By default, only owners can bulk-delete. Deleted contacts go to the recycle bin; see Import, export and duplicates.

Unsubscribes and email status

People unsubscribe through the link in your campaign and newsletter emails. A contact's Campaign emails card shows what happened to the emails you sent: delivered, opened, clicked, bounced, unsubscribed or reported as spam. It also shows since when an address has been suppressed.

Companies

  1. Open Sales → Companies. Search by name or domain, or filter by industry.
  2. Select Add to create a company. You can also add several at once from their website addresses.
  3. Open a company to see its contacts, its deals and one combined activity feed.

Companies are shared across your whole organisation and don't have an owner. Deleting a company keeps its contacts; they're just no longer linked to it. AI enrichment of companies uses AI credits.

Starting from a spreadsheet? Read how to clean a contact list before you import it, then follow Import contacts.

Example: turn an enquiry into a maintained record

Search the email and phone before creating the contact. Add the person to the correct company, choose an owner and record the reason for the enquiry. Add a follow-up task or deal only when it represents a real next step. Keep tags descriptive and use custom fields for structured information you need to filter or report on.

When two records look like the same person

Compare their email, phone, company and activity history before merging. Shared office numbers and generic mailboxes do not prove that two people are identical. Use duplicate management rather than deleting one record and losing its context.
