Email in Fulcrum CRM

Connect Google or Microsoft 365 mailboxes to Fulcrum CRM, log emails on contacts, send with templates and signatures, and run campaigns and newsletters.

Connecting your mailbox means emails with your contacts are saved on their timelines. You can also send email from the CRM with templates and signatures, and run marketing email to many contacts at once.

Connect your mailbox

  1. For Google, go to Settings → Integrations, find Your Google account and select Connect Google.
  2. For Outlook or Microsoft 365, go to Settings → Email Integration and select Connect Microsoft. The button appears once an administrator has set up Microsoft for your workspace.
  3. Approve access in the Google or Microsoft window.
  4. Your mailbox appears under Your connected accounts. Select Manage to set the display name and signature, then Save changes.

To remove a mailbox, select Disconnect.

Log emails on contacts

  • Turn on Log emails with contacts to Fulcrum CRM for the connected account. It's on by default for Google. Emails you exchange with existing contacts are then saved to their timelines.
  • Or BCC the personal logging address shown on the Log emails to Fulcrum CRM card when you send from any email app. If that address gets shared by mistake, select Issue a new address.

Only emails with people who are already contacts are logged. Add the contact first if they're new.

Send email from the CRM

Use Send Email in Quick Actions, or email from a contact. The composer has To, Cc / Bcc, From and Template, plus AI write to draft the message for you. You can attach up to 10 files (25 MB in total). After you select Send, the email waits 30 seconds (Sending in 30s), so you can still select Stop send and reopen it. Use the arrow beside Send to schedule it, or Save draft to finish later.

Templates and signatures

  • Templates: go to Settings → Email Templates. Give each template a name, subject and message, and add merge fields such as {{contact.first_name}}. Choose who can use it: just you, everyone, admins, or selected people.
  • Your signature: set it in Settings → Profile & Security under Email Signature.
  • A mailbox's signature: go to Email Integration → Signatures and select Edit signature.

Campaigns and newsletters

Campaigns are for marketing email to many contacts. They're a paid add-on.

  1. In Campaigns, set up Email styling once: your logo, colour and footer.
  2. Select New campaign. Enter the campaign name (internal only), subject line, preview text, from name and reply-to email.
  3. Write the email, or select Generate to draft it with AI.
  4. Under Who should receive this?, choose a list, a saved segment or an ad-hoc filter.
  5. Select Send test to check it in your own inbox, then Send now or schedule it for later.

Members can build campaigns but can't send them, and AI assistants can never send bulk email. Newsletters are a simpler option with their own templates: pick your recipients with filters, save a draft, and send.

Every campaign and newsletter includes an unsubscribe link, and Fulcrum stops sending to anyone who unsubscribes. Make sure you have consent to email the people you send to.

Looking for a full mailbox rather than a CRM connection? Fulcrum Mail is Fulcrum's own email app.

Check a campaign with a test recipient

Confirm the mailbox, sender identity, audience, template, merge fields and unsubscribe behaviour. Send to an address you control and inspect the received message, links and attachments. A valid template preview can still contain the wrong contact values when rendered for the audience.

When mail appears missing or duplicated

Compare the connected mailbox, contact timeline and actual sent message. Check whether the problem concerns synchronisation, logging or delivery; they are different stages. Inspect an existing send before retrying, particularly after a timeout or a delayed campaign status update.
