Deals and pipelines in Fulcrum CRM
Create deals, move them through pipeline stages on the board, set owners and close dates, and build your own pipelines and stages in Fulcrum CRM.
A deal is a potential sale. It moves through the stages of a pipeline, such as Lead, Qualified, Proposal and Closed Won, until it's won or lost. You can run more than one pipeline, for example one for new business and one for renewals. For how sales teams use this day to day, see Fulcrum CRM for sales teams.
Create a deal
- Open Sales → Deals and select Create Deal. You can also use + Create deal on a contact, or New Deal in Quick Actions.
- Choose the contact, then enter the Deal Name and Company.
- Enter the Deal Amount (AUD) and choose a Priority: Low, Medium or High.
- Pick the Pipeline and Stage.
- Set the Expected close date. This is required unless the stage is a won or lost stage.
- Add a Description if you like, then save.
Work the board
- Use the pipeline switcher to choose a pipeline, and toggle between Board and List.
- Filter by text, priority, owner or close date (any, overdue or none). Turn on Me to see only your deals.
- To move a deal, drag its card to another stage. Or open the deal and change its stage in the Pipeline field. If you move a deal without a close date into an open stage, Fulcrum asks you to set one.
- Each card shows how long the deal has been in its stage. It turns amber after 3 days and red after 7, so stuck deals stand out.
- Every stage change is written to the contact's timeline.
Set a deal owner
Click the owner's photo on a card, or the dashed Set owner circle on a deal with no owner, and pick a person or Unassigned. Inside the deal, use the Deal owner field.
Delete a deal
Open the card's ⋮ menu and choose Delete deal. Deleted deals go to the recycle bin and can be restored for 90 days; see Recycle bin.
Set up pipelines and stages
- Go to Settings → Pipelines.
- Select New pipeline, enter the pipeline name and select Create. New pipelines start with seven stages: Lead (10%), Qualified (20%), Proposal (40%), Negotiation (60%), Contract (80%), Closed Won (100%) and Closed Lost (0%).
- Choose a pipeline to edit its stages. Rename a stage, change its win percentage, or drag to reorder. To add one, type the new stage's name and win % and select Add.
- Rename, reorder or archive pipelines the same way. You can't archive your last visible pipeline.
Name your closing stages with "Won" and "Lost". Deals in those stages don't need a close date and never show as overdue. A stage can't be deleted while it still holds deals; move them first.
Administrators can limit which pipelines each person sees in Settings → Teams & Members. Duplicate deals can be merged; see Import, export and duplicates.
Give each stage an observable meaning
A stage should describe progress the team can verify, such as a proposal being sent or an agreement being accepted. Set the deal’s amount, expected close date and owner consistently. Moving a card updates pipeline state; it does not send a proposal or complete the customer’s next step by itself.
When a deal is missing
Check the pipeline, owner and filters before creating another deal. Inspect the linked contact and company. Review role visibility if a colleague can see the deal and you cannot. If it was deleted, check the recycle bin using the restore guide.
